The Jewish Federation of Greater Raleigh is the central hub of Jewish life in Wake County and surrounding areas. The Jewish Federation includes our agencies: Jewish Family Services, Jewish Community Center, Jewish Community Relations Council, and the Jewish Community Foundation. Through our agencies and local and national partnerships, Federation welcomes, engages and empowers Jewish life in Raleigh, Israel, and around the world.
Position Description
The Administrative Assistant will be responsible for supporting several departments within the Federation and its varied functions. This individual will provide support on data/Customer Relationship Management (CRM) tool, correspondence, calendar support, administrative functions, office management, and work closely with the Executive and Development team. This is a fully in-office role, with a weekly commitment of 25 to 30 hours.
Core Functions, Duties, and Responsibilities
Administrative Support: Provide comprehensive administrative assistance to ensure smooth and efficient operation of the organization.
Phone, Scheduling, and Visitor Support: Answer phone calls, schedule meetings, and assist with greeting and supporting visitors.
Inventory Management: Monitor office supply levels, anticipate needs, and handle the timely ordering and restocking of supplies.
Calendar Management: Schedule appointments and maintain up-to-date calendars for the executive team and other relevant staff.
Meeting and Event Coordination: Organize logistics for meetings, daytime programs, and other events, as needed.
Data Management and Reporting: Manage data within the organization’s CRM system and assist with generating reports, as required.
Correspondence: Support with drafting and sending communications, including thank you notes, emails, and other written correspondence.
Additional Tasks: Perform miscellaneous duties as assigned by the CEO, COO, and Development Manager.
Experience & Qualifications
Three (3) years of administrative assistant experience
Knowledge of appropriate software including: Microsoft Teams, Microsoft Word, Excel, and Outlook and Microsoft PowerPoint
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Ability to lift 20 pounds
